Position Title: Director of Resource Center Operations
Status: Exempt
Location: National Fatherhood Initiative Headquarters (Gaithersburg, MD)
Hours: 8:30 a.m. to 5:00 p.m.; Monday - Friday
Travel: Limited
General Description:
This position oversees the general operations of The Fatherhood Resource Center. National Fatherhood Initiative offers the most innovative fatherhood resources in the country to organizations serving fathers at their points of need. The Director of Resource Center Operations creates win/win relationships with vendors, suppliers, and partners to lower Resource Center (RC) costs while delivering high quality resources to customers. Basic responsibilities include: Supervising the Resource Center Assistant, monitoring inventory levels, managing vendor relationships and contracts, performing both managerial & analytical accounting functions and conducts analysis of orders and customer buying patterns.
Applicant must be punctual, dependable, have strong analytical & computer skills, and is able to work independently in a fast-paced office environment. Additionally, the applicant should enjoy working in a team environment, be energetic, focused on customer service, organized, self-motivated and professional.
Primary Responsibilities:
- Oversees the overall operations of the Resource Center
- Inventory Management: Forecast and reorders inventory as needed; monitors purchase/manufacturing variances and other sales/cost variances
- Business Development Management: Monitors monthly sales, oversees customer relations, supports inside sales efforts, negotiates contracts and manages vendor / supplier relationships
- Customer Service: Ability to improve and maintain relationships with external customers. Identifies and anticipates the needs of the customer, has knowledge of our complete product line, reviews and follows up with customer complaints or issues as needed. Proven customer focus and ability to manage change
- Budget Management: Assists in the creation of the annual RC budget, maintains accurate and organized records for NFI's annual audit, controls expenses by strategically planning inventory turns based on demand and analysis
- Operational Management: Ensures compliance with applicable state sales tax filings and ongoing registrations to transact business in applicable states. Processes/approves all RC-related invoices
- Creates sales reports to track product performance, monthly order volume, and customer information and history
- Performs month-end tasks including account reconciliations and analytical sales review
- Coordinates with Strategic Project Manager and various departments to meet project deliverables
- Manages eBusiness website; works with outside vendors to maintain optimal functioning, adjusts pricing, categories, and other features as necessary
- Contributes to the RC’s marketing process under the direction of NFI’s Marketing Manager by providing customer and product data, updating eBusiness website (www.FatherSOURCE.org) as necessary, contributing to marketing collateral, recognizing new markets/market niches, etc.
Secondary Responsibilities:
- Reviews aging schedule and follows up on outstanding invoices
- Handles RC constituent requests (web feedback)
- Manages and composes RC correspondence
- Able to enter RC orders electronically for processing
- Coordinates product updates and new product creation with Graphics Department
- Assists with special projects, as needed
Minimum Qualifications:
- Bachelor’s Degree from an accredited college or university and at least two years of related experience
- Proven Proficiency with Microsoft Excel, Outlook, and Word
- Excellent oral and written communications skills
- Outstanding customer relations and organizational skills
- Strong interest in promoting involved, responsible, and committed fatherhood
- Background/knowledge in accounting and Sage MAS 200 software is desirable
- Background/knowledge of printing / publishing or fulfillment services would be helpful
